If a female employee applies for leave and adds someone as a substitute, then the male personal pronoun “to be” is used instead of the female “her.”
Example:
Anna Schnell has appointed you as a substitute for his absence from 20.03.2025 to 03.04.2025.
The correct would be:
Anna Schnell has appointed you as a substitute for her absence from 20.03.2025 to 03.04.2025.
It's a small thing, but if Projo knows the gender of the employee, you could display the wording of the notification correctly.
