Set your own status for offers

“Offer rejected” (by the client /AG) probably includes this. I barely remember this text from myself. The buttons shown for the offer status are generally sufficient. But we just don't have a button to mark a pure HOAI calculation to adjust the eligible construction costs as part of preparing an invoice and the change of status is kind of cumbersome.

Weitz, Françoise: Just for my understanding, what does “offer rejected by AN” mean? Does this mean that it was never released? An offer that has been submitted once can no longer be “rejected”?

Among other things, there was a desire to be able to read out the status change data from the list of offers. We are already automatically saving changes in offer status, as you can see above each offer. However, we store as much data as we want and not just one or two, which is why it is a bit difficult to display it in columns in the offer list.
What would happen if we saved two additional pieces of data in one field of the offer list in the future:
- Date of creation
- last changeover date placed on order?
In future, an additional internal approval date and last status change to “Offer submitted” may be added.
We could then only ever display the latest status change, because in theory, you can switch back and forth between the offer status several times in Projo.

Florian Scholl Yes, it is also saved in projo. However, the question arose as to whether projo could also display and export this data in the offer list. Here we have the problem that we would only want to export one date per cell in Excel export. There is then the question of which one. My suggestion was to use the most recent (most recent) one.

We checked the status of the listings again last week. We have no option simply to select the “Cost calculation” status, because this should not always simply be left as a draft or not yet transferred to the offer. It would be very, very good if the user could also freely choose the status here, as with the status of the individual LpH in the contract status within the projects.

Is this actually still an issue here, as it is not “completed” but “planned” (02.12.2022)?
I am currently trying to determine the offer success rate for the year 2023 again for the QM audit, which unfortunately is not possible in the easy way, as we always have the cost calculations in between and the route via the collective project seems to be more of a detour, as we then have to incorporate the cost calculation from the collective project back into the contract structure of our project.
This HOAI calculation is also always included as an attachment to the customer's invoice, as this is the only way for the customer to view the eligible costs. Unfortunately, these are not included in the invoice.
I've just looked again at which columns I can add. I can choose the offer date. Perhaps it would help if you could also set the contract date as a column. At least that would be an orientation. But a “HOAI calculation” button would of course be even easier.
Changing the offer status itself is also still not “easy” due to the intermediate steps. It would be nicer to select the status directly.

We have created our own collective project for calculations when we simply need the Hoai calculator function.

viktor gatys: Hi Victor, I know I'm a bit late with my feedback. Excuse me But doesn't that mean that the adjustment of the eligible costs is not included in the corresponding project, i.e. when you are in the project, this adjustment is not even visible? The assignment to the actual project should be retained and it is definitely a change in the offer that must be recorded there in this area because it is not possible within the contract structure. I don't spontaneously find that conclusive and may become confusing at the end, but thank you for the advice. But I'll write another email on the subject.

Weitz, Françoise: We did it this way for acquisition calculations, so we didn't need a specific project assignment.

In fact, it is logical to make the offer status freely definable in addition to your own project status and service status. If, on the other hand, it is just a question of who rejected an offer, then it is faster for us to create a separate field for it.
