If you make the information mandatory for the representative, then it is not possible to leave the field empty. It also makes sense.. BUT some employees do not have a representative - so there is no option to refuse to provide information for an important reason.

Okay, you had already mentioned this in the UserGroup. That was no longer possible before Christmas, but we can put it on the agenda in the short term. 
I understand it correctly: I should be able to skip the deputies by giving an important reason in a free text field. Should anyone be notified about this? If yes, who? Should “no proxy” and the 
Reason to be visible in the team area (i.e. for everyone)?

I don't think visibility is necessary.
